Real Estate Virtual Assistant

 

Position Overview

We are seeking a detail-oriented and organized Real Estate Virtual Assistant to provide comprehensive administrative support to real estate professionals and agencies. This role requires strong organizational skills, attention to detail, and the ability to manage multiple real estate transactions and processes simultaneously. The successful candidate will help real estate clients streamline their operations, manage listings, and coordinate transactions efficiently.

 

Responsibilities

  • Manage property listings across multiple platforms (MLS, Zillow, Realtor.com, etc.)
  • Coordinate property showings and maintain viewing schedules
  • Process real estate documents and forms using industry-standard software
  • Organize and maintain digital property files and transaction documents
  • Draft and proofread property descriptions for listings
  • Conduct basic photo enhancement for property listings (brightness, contrast adjustments)
  • Research property information, comparable sales, and market trends
  • Assist with lead generation and database management
  • Coordinate with stakeholders (clients, agents, inspectors, title companies)
  • Manage communication with clients and potential buyers/sellers
  • Prepare transaction documentation for closings
  • Track transaction milestones and ensure timely completion of tasks
  • Assist with basic social media scheduling for property promotions
  • Create and maintain client relationship management (CRM) records

Qualifications

  • Minimum of 1 year of experience in real estate administration or virtual assistance
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) is a must
  • Experience with Google Workspace (Gmail, Docs, Sheets, Calendar) is a must
  • Proficiency in AI software and tools (such as ChatGPT, Claude, or similar AI assistants) is a must
  • Knowledge of real estate transaction management software is preferred
  • Exceptional written and verbal communication skills in English (CEFR level B1 or above required), with strong attention to detail
  • Understanding of real estate processes, terminology, and documentation
  • Excellent organizational skills and ability to prioritize competing demands
  • Ability to work independently with minimal supervision
  • Familiarity with real estate listing platforms and property databases
  • Basic understanding of real estate marketing principles
  • Experience with customer relationship management (CRM) systems preferred

  • Processor: Minimum Intel Core i5/AMD Ryzen 5 or equivalent (i7/Ryzen 7 recommended for multitasking)
  • RAM: 8GB minimum, 16GB recommended for handling multiple applications simultaneously
  • Storage: 256GB SSD minimum (512GB+ recommended)
  • Operating System: Up-to-date Windows 10/11 or macOS (last 2-3 versions)

Internet Connection

  • Speed: Minimum 25 Mbps download/10 Mbps upload (50+ Mbps download recommended)
  • Backup Solution: Mobile hotspot or secondary internet option for emergencies
  • Ethernet Connection: Wired connection option for optimal stability during important meetings

Others

  • Headset: High-quality noise-canceling headphones with microphone
  • Webcam: 1080p resolution minimum
  • Monitor: Minimum 21-inch screen with 1080p resolution minimum

Hours and Availability

  • Flexibility to align with client’s time zone and schedule
  • Availability during core business hours with some flexibility for urgent tasks
  • Ability to handle occasional time-sensitive matters outside regular hours
